AI meeting minutes

Minutes of every call, with the outcome and who does what next

Dot writes minutes for every Teams, Zoom and Google Meet call it listens to, from the whole transcript, once the call is over. They open with the meeting’s outcome in a single line, set out what was discussed under a heading for each topic, and close with the next steps and their owners.

Correct anything it got wrong, then email the minutes to colleagues, share the meeting or export them as a file.

How it works

  1. STEP 1

    Let Dot listen in

Install Dot and choose Listen in when your call starts. It transcribes the call as it goes.

  2. STEP 2

    Dot writes the minutes

When the call ends, it reads the whole transcript and writes the outcome, the notes by topic and the next steps.

  3. STEP 3

    Check them, then send

Correct anything it got wrong, then email the minutes to colleagues or export them as a file.

What the minutes look like

The outcome

Shortlist cut to two; the pilot starts on 2 March

Supplier Shortlist

  • Three quotes in; Northfield’s delivery times ruled it out
  • Ashby and Corran both come in under the £40k budget
  • Decision: Ashby and Corran go through to the pilot

Pilot Plan

  • Four weeks at the Leeds site, from 2 March
  • Supplier unresolved: Tom favours Corran, Priya wants Ashby’s terms first
  • Corran’s price holds only if the order is placed this month

Next Steps

  • Send both suppliers the pilot brief (Priya)
  • Check Corran’s contract terms with legal (Tom)Before the end of the month, while Corran’s price holds.
  • Book the Leeds site visit

How Dot writes them

In one pass over the whole transcript, once the call has ended, by a language model held to rules about accuracy: a point goes to a name only when the transcript shows who said it, an offer to help is not written up as a task, a figure somebody corrected is the one that stands, and a disagreement is left as a disagreement.

It is also given anything you put on the meeting’s board during the call and your organisation’s glossary, so names and terms come out spelled your way.

Correcting, sending and exporting

The minutes stay a draft for half an hour by default. Correct them on the meeting’s page in the meantime, and Dot keeps the earlier version.

Email them to colleagues from the meeting: each one gets the minutes, and can open the meeting in Dot. Sending them makes them final. You can also share the meeting by link, with people inside your organisation or outside it, or export the minutes as Markdown, a PDF, CSV or JSON.

Minutes, notes and transcripts

A transcript is every word that was said. Notes are what mattered in it, grouped by topic. Minutes are the record a meeting keeps of itself: what was discussed, what was decided and who is doing what next. Dot’s minutes are its notes with the outcome on top.

For formal minutes, such as a board’s, treat Dot’s as the draft a minute taker hands the chair: read them against what you remember, and correct them before they are approved.

Questions

What is an AI minute taker?

An AI minute taker listens to a meeting and writes its minutes, so nobody has to. Dot does it for calls on Teams, Zoom and Google Meet from a desktop app, and the minutes are on the meeting’s page shortly after the call ends.

Does Dot assign action items to people?

It writes down who took each next step on, as it was said in the call, in brackets after the task. It does not assign tasks, send reminders or chase anybody.

Who can Dot email the minutes to?

Colleagues in your organisation, when you send them from the meeting’s page in Dot. To give the minutes to somebody outside it, share the meeting by link or export them.

Can I export the minutes to Word?

Not as a Word file. Export saves them as Markdown, a PDF, CSV or JSON. Markdown keeps the headings and the lists, and most editors can open it.

How long are the minutes kept?

Until the meeting is deleted. The transcript behind them is kept for as long as your organisation sets, and the minutes stay after it has gone.
