Your meetings are stored in the region you choose
Dot stores everything it keeps for an organisation in one region, chosen when the account is created: the United Kingdom (London), the European Union (Frankfurt) or the United States (Northern Virginia). Dot keeps no copy of it in another region. Some processing happens elsewhere, and this page says exactly what, where and why.

What stays in the region
Everything Dot stores for your organisation: the transcripts, the notes and minutes, the decisions and actions found in them, the notes of what was shared on screen, the search index built from them, the documents you give Dot, your people’s accounts, your settings and your audit log. They are kept in the region’s database, and Dot copies none of them to another region. How they are protected is on the security page.
The region is chosen once, when the account is created, and Dot does not move an organisation from one region to another.
What is processed outside it
Three things, each while a meeting or a question is being dealt with. Dot stores nothing in these places.
- The audio, for transcription. Dot streams it to Soniox or AssemblyAI as it is spoken. From the UK and EU regions it goes to their European endpoints, which means a UK organisation’s audio is transcribed outside the United Kingdom. From the US region it goes to their endpoints in the United States.
- The words and the screen, for the AI. To answer a question, write the notes and find the decisions, Dot sends the transcript, or the parts of it a request needs, to AI models from Anthropic and OpenAI. To note what is shared on screen, it sends a picture of the meeting window when what it shows changes, and with a question typed in the app. Both providers are reached at their own endpoints in the United States, and today that is so for every region, the UK and EU included. The pictures are not kept: only the short note written from each one is, in your region.
- A question for a web lookup. Only if your organisation turns web lookups on, and only for a question your meetings cannot answer: the question alone goes to Anthropic’s web search in the United States. Nothing else from the meeting goes with it.

Billing, this website and email
Billing is one Stripe account for every region, and Stripe never sees meeting content. This website, hidot.ai, is the same for everybody and holds nobody’s meetings. And the emails Dot sends, such as the minutes, arrive in each recipient’s own mailbox, wherever that is.
Questions
Does Dot keep UK meeting data in the UK?
Dot stores a UK organisation’s meetings, transcripts, notes and account in London, on Amazon Web Services and a MongoDB Atlas database there, and nowhere else. Two kinds of processing happen outside the UK: the audio is transcribed at the transcription service’s European endpoint, and the AI models that write the notes, answer questions and read what is shared on screen, from Anthropic and OpenAI, are reached in the United States.
Is the UK region the same as the EU region?
No. The UK region is London and the EU region is Frankfurt. London is not in the European Union, so an organisation that needs its data stored in the EU should choose the EU region.
Which parts of a meeting leave the region?
Dot keeps no copy of what it stores in another region. While a meeting is processed, the audio goes to the transcription service (at its European endpoint for the UK and EU regions, in the United States for the US region), and the transcript, or the parts of it a request needs, and pictures of the shared screen go to the AI models of Anthropic and OpenAI in the United States, for every region. The pictures are not kept. A web lookup, if the organisation has turned them on, sends only the question, also to Anthropic in the United States.
Can an organisation move to another region later?
No. The region is chosen once, when the account is created, and Dot does not move an organisation’s data from one region to another.
Where is billing handled?
By Stripe, through one account for every region. Stripe sees billing contacts and payment details, never meeting content.
